COVID-19: ResLife FAQs

UPDATED 3/25 - Is the Office of Residence Life open? 

Per Tennessee's Safer at Home order, all central office staff are working remotely at the current time. The BEST course of action should you need anything regarding move-out is to contact your complex's Residence Director if your question is not answered below. We are also responding to our main office line and ResLife email accounts, but please be patient as we are receiving a high volume of calls and emails at this time. 


Why am I being asked to move out and check out of my residence hall?

The rapid spread and still-unknown threat of the Coronavirus and COVID-19 find us in the middle of uncertain and extraordinary times. Having considered all available information and in following guidance from the Centers for Disease Control and local/state health department officials, Belmont is electing to act with an abundance of caution with three main goals driving our decisions:

  • Caring for the health of our students, faculty and staff
  • Preventing the virus from infiltrating our campus
  • Contributing to public health efforts to stem the spread of this virus throughout our community

In our view, these extraordinary circumstances call for extraordinary (and, at least at Belmont, unprecedented) actions. Across the country announcements are being made of closures, cancellations, postponements, and other disruptions to plans and life. Each of these disruptions are bound to cause an array of frustrations, inconveniences and sacrifices, all in the name of helping to curb this public health crisis. We are fully aware that Belmont’s own changes will have a similar effect on our students and their families; we ask for your patience and understanding as we venture through this together.


What if I am feeling unwell, in quarantine, or otherwise suspect I might have been exposed to COVID-19?

To ensure the safety of all departing residents, staff, and the Belmont community, if this is the case it is imperative that you do not make arrangements to come to campus. Please note your circumstances in the Request for Moveout and we will make a plan for your checkout remotely or at a later date. 


UPDATED 3/23 - I need to come back to campus and move out/checkout. How do I do that?

First, complete the Request for Moveout (instructions on accessing this application through your Housing Portal are at this link and below). Then, wait for instructions from your RD. Please allow 1-2 business days for follow-up. You should sign up for move-out date at least three days in advance of your requested date. Do note that due to limits of students that can move out at a given time, your requested date may not be available. Your move out date will be confirmed, and you will be given instructions on how to complete a no-contact Express Checkout and return your keys.


What will move out look like? Will I have help?

Security barriers will be removed Monday-Friday from 8:30am  to 4:30 pm in the North Lawn for students moving out of Heron, Hail, Pembroke, Potter, and Patton. The Kennedy loop will be accessible for students moving out of Kennedy or Russell. A limited number of spots will be reserved in the Curb garage for students moving out of Wright and Maddox. All other halls will need to utilize surface lots and parking garages. Blue carts will be available to use at your own discretion – please be sure to return these carts where you retrieved them. We also ask that you please limit the number of individuals you bring to campus if you are needing assistance. No additional move-out assistance will be available from staff due to limited staff and safety precautions.

There will be designated trash areas in each building. There will NOT be donation bins for unwanted items. Please plan to either take large items with you or donate off-site

UPDATED 3/23 - Where do I find the Request for Moveout?
Log in to MyBelmont and enter your Housing Portal. On the side panel, select Request for Moveout, and complete the prompted fields. A graphic of these instructions can be accessed here. 


UPDATED 3/24 - I completed my Request for Moveout in the Housing Portal. I need to change my originally requested date, or I need to check on the status of my request. How do I do that? 
Please allow 1-2 business days for your Residence Director to reach out to you regarding your request. If you have not heard from your RD or if you need to change your requested date, please contact the RD of your complex directly by email or voicemail. Click here for the contact  information for your RD. Please do not call our main office line. 
UPDATED 3/23 - Will I be given access to my residence hall building on my assigned move-out day?

Yes, you must complete the Request process and be confirmed by your RD, but then you will be given access to move out before 6:30pm on your confirmed move-out day.

UPDATED 3/23 - What is an Express Checkout?

An Express Checkout is an unassisted checkout in which you completely move out of your room, check out online via the Housing Portal, and drop your keys off in the key return box located in your hall lobby. Your RD will give you full instructions on how to complete an Express Checkout on your assigned move-out day. Be sure to complete your Request for Moveout Appointment first!


I have already completely moved out. I just need to return my keys. How can I do that?

Please denote this in the Request for Moveout – you will NOT need to request a move-out date. You can either physically return your keys OR mail in your keys. You can physically drop off your keys in your residence hall lobby (in the drop box provided, using a provided envelope) and sign the master roster at the front desk denoting that you’ve fully moved out. If you are able to mail your keys, you may mail them to:

Note that failure to return keys can result on a charge to your student account. 


I have already completely moved out. I have already returned my keys. Is there anything else I need to do?

Please complete the Request for Moveout, and denote this in the required field. You do NOT have to request a move-out date.


What if I do not know when I will be able to come to campus?

In the Request for Moveout, please outline your special circumstances. A member of our team will reach out to work with you.


What if I don’t check out or return my keys?

Failure to return keys will result in a key fine added to your student account. Unclaimed/abandoned items will be donated. We will make every attempt to work with you so that this is not the case.


How long are my items safe in my room?

The current checkout window will run from May 31st. Exceptions after this date will be made on a case-by-case basis, so please outline your circumstances in the Request for Moveout. Staff and Campus Security are on site and monitoring halls in the meantime. Halls are not accessible to visitors, and resident access is limited.


Will I be charged for damages or cleaning?

Damages to the room that are deemed egregious or cleaning needs that are excessive will result in a damage or cleaning charge billed to the student’s account. If you have already left campus and you have a concern, you may speak with your RD and cases will be handled individually.


Am I able to stay in my room overnight as I move out and check out?

Due to safety concerns (both COVID-19 related and due to limited staffing), no overnight stays will be permitted after March 22 at 5pm.


UPDATED 3/20 - I need to pick up a package from the UPS Store. What do I do?

The UPS Store at Belmont is open and will hold your packages at no charge for up to 8 weeks (they can also forward packages to your home address as needed, though additional postage may be required—to begin the process, simply complete this mail forwarding authorization form). The UPS Store is open Monday through Friday from 8 a.m.-7 p.m. and Saturdays from 9 a.m.-5 p.m. They can be reached at or 615-460-6636.

NEW - How can I sell back my textbooks as the semester wraps up? 

Please see the following info provided by our partners at the Belmont Store! Buyback will be conducted online only this semester.  Below are the instructions to initiate your buyback quote with MBS:

  1. Access your Online Bookstore at Go to Menu -> Sell Your Textbooks. Log in using the same email address you used to purchase your books to review your eligibility for Guaranteed Buyback* and Customer Loyalty.  When you purchased your books in your Online Bookstore, you may have bought course materials with Guaranteed Buyback value. Make sure you include these when it’s time to sell your books back!
  2. Review your books or enter ISBNs. Books purchased through the online bookstore are listed so you can choose which books you intend to sell back. If you would like to add additional titles, simply enter the ISBN for each book you wish to sell back.
  3. Verify your list and click “Submit Your Buyback." Your quote will not be processed until you click this button. A finalized quote will be emailed to you. Your buyback quote is valid for 30 days after creation.
  4. Confirm and update your account. Ensure your delivery address is correct. Verify your payment method(s).  **Be sure you add the address you are living at if requesting a check when you are not at Belmont to ensure the check goes to the correct place.  If you don't fill any address, it will default to send the check to Belmont, which could complicate you receiving your buyback check in a timely manner.
  5. Print the quote from your email. Include a copy of your quote with the shipment of books you wish to sell back. (One copy of your quote per six books shipped.)
  6. Print the free shipping label.
  7. Send your books. We will send you an email when we receive the books, check them in and mail your check or credit your PayPal account. Please allow 2-4 weeks to receive the funds.

NEW - How do I return the books I rented through Bruin Books?

Please see the following information from our partners at the Belmont Store: 

  1. Visit the Bruin Books portal at
  2. Click Log in to Your Account.
  3. Use the email address you used to order your books for this semester.  If you have forgotten your password, click forgot password?to reset.
  4. Once you are logged in, you will see Your Rentals.  Below that you'll see a link, Rental Returns.
  5. Click the link and you will see all the books you have rented for this semester.  Select them to return and click return Selected Books.
  6. Proceed to print the return label and shipping label as you finalize the rental return.
  7. Put the book(s) in a box, attach the label, and drop at a UPS store.

UPDATED 3/24 - Will the Fall 2020 Housing Selection Process (Housing Draw) still be taking place as scheduled?

No - the dates have been updated. All Spring 2020 on-campus students should have received an email regarding the changes in the Housing Selection process on March 23. The new dates are as follows - please check your Belmont email for full information!

When will Summer term housing applications be available?

At this time, we have stalled our summer planning and do not currently have a proposed date available for summer term applications. Please stay tuned to your Belmont email and this FAQ page, and we will update as information becomes available.
